Privacy Policy
How we collect, use, and protect information from the operators and merchants who use Renver Systems.

Renver Systems ("we", "us", "Renver") provides cloud-based back-office software for convenience-store, gas-station, and similar retail operators. This Privacy Policy explains what information we collect when you use our software, how we use it, and the choices you have about your information.
By using Renver Systems you agree to this Privacy Policy. If you don't agree, please don't use the service. If you have questions, email us at hello@renversystems.com.
1. Information we collect
Information you give us
- Account information. Your name, email address, phone number, and password when you create an account. For employees you add (managers, cashiers), the same plus optional date of birth, hire date, and compensation details for HR records.
- Business information. Your business name, addresses, store locations, point-of-sale register types, fuel grades, lottery games, and similar operational configuration.
- Operational data. Shift reports, cash counts, sales totals, fuel sales by grade, lottery sales and payouts, inventory counts, expense records, and other day-to-day operational data your team enters into the software.
- Photo uploads. Z-tape photos, receipt scans, and similar audit-trail attachments uploaded by your cashiers as part of shift close.
- Support communications. Emails and messages you send to us when requesting help.
Information we collect automatically
- Usage data. Pages visited, features used, timestamps of actions, and basic device/browser information.
- Log data. IP addresses, server response times, and error logs for security monitoring and debugging.
- Cookies. Session cookies to keep you logged in. We don't use third-party advertising trackers or behavioral analytics.
Information from integrated point-of-sale systems
When you connect a Clover, Verifone, or other point-of-sale system to Renver Systems, we receive merchant data from those systems on your behalf — including inventory, orders, payments, employees, and cash log entries. This data is processed under your authorization and used solely to provide the Renver service to your business.
2. How we use information
We use the information we collect to:
- Provide, maintain, and improve Renver Systems
- Process shift reports, generate reports (P&L, cash variance, etc.), and sync data with your point-of-sale systems
- Send transactional emails (notifications, alerts, account recovery, billing confirmations)
- Respond to your support requests
- Detect, investigate, and prevent fraud, abuse, or security incidents
- Comply with legal obligations
We do not use your operational data to train AI models without your explicit consent. If we later offer optional AI-assisted features (such as automated data extraction from receipts), we'll ask you to opt in separately, and you can decline.
3. How we share information
We share information only in these limited circumstances:
- Service providers. We use cloud infrastructure providers (Amazon Web Services, Cloudflare, and similar) to host the service, deliver email, and process payments (when applicable). These providers process data on our behalf under contractual confidentiality obligations.
- Integrated systems. When you authorize an integration (e.g., Clover, Verifone), we share necessary data with that system to fulfill the integration's purpose. You can revoke any integration at any time.
- Legal compliance. If required by law, court order, or government request, we may disclose information — but we'll notify you first when legally allowed.
- Business transfers. If Renver Systems is acquired or merged with another company, your data may be transferred to the acquirer subject to this Privacy Policy.
We do not sell your data. We do not share your data with advertisers or marketing networks.
4. Data retention
We retain your account and operational data for as long as your account is active. If you cancel your account, we delete your operational data within 30 days unless we're required to retain it for legal, audit, or fraud-prevention reasons.
You can request export of your data at any time before cancellation. Photos and receipt scans you've uploaded are deleted along with your other operational data.
5. Your rights & choices
You have the right to:
- Access the personal information we hold about you
- Correct inaccurate information through your account settings or by emailing us
- Export your data in a standard format (CSV, PDF)
- Delete your account and associated data, subject to our retention obligations
- Revoke third-party integrations at any time from your account
To exercise any of these rights, email hello@renversystems.com. We'll respond within 30 days.
If you're in California, the EU, the UK, or another jurisdiction with specific privacy laws (CCPA, GDPR, UK-GDPR), you may have additional rights including the right to lodge a complaint with a regulatory authority. We honor those rights regardless of where you're located.
6. Security
We protect your data using industry-standard practices:
- All data is transmitted over encrypted connections (TLS 1.2+)
- Sensitive credentials (passwords, OAuth tokens) are encrypted at rest
- Database backups are encrypted and stored separately from production
- Access to production systems is restricted to authorized personnel with multi-factor authentication
- We log access to systems and monitor for unusual activity
No security system is perfect. If we discover a breach affecting your information, we'll notify you promptly and follow applicable breach-notification laws.
7. Children's privacy
Renver Systems is built for business use by retail operators. It is not directed at children under 13, and we don't knowingly collect personal information from children. If you believe a child has provided information to us, please contact us so we can remove it.
8. International transfers
Our infrastructure is currently hosted in the United States. If you're using Renver Systems from outside the United States, your information will be transferred to, and processed in, the United States. By using the service you consent to this transfer.
9. Data Processing Agreement
If you're a business customer subject to GDPR, UK-GDPR, or similar data-protection laws, we offer a Data Processing Agreement (DPA) on request. Email hello@renversystems.com to receive one.
10. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we'll notify you by email and update the effective date at the top of this page. Continued use of Renver Systems after a change indicates your acceptance of the updated policy.
